Employment Contract
The head of School/Discipline (or nominee) employing part-time teaching support staff (TSS) must return a contract to HR prior to the start date of the individual’s employment in the University.

Before the timesheet is submitted for payment
Before approving & submitting timesheets, managers / budget holders need to ensure that:
- A contract was submitted to HR prior to the start date of the individuals employment.
- HR sent an email to confirm the contract is set up and also confirm the correct payment process (either salary or via timesheet) before the timesheet is submitted to the Bureau. If the payment is via monthly salary then the timesheet process is not applicable.
- the date of work stated in the timesheet is in line with the contracted dates submitted to HR
- the correct cost centre as stated on the contract is used
- the total hours paid are in line with the contract
- the overall timesheet is filled out correctly
- It is not sufficient to copy the budget holder for the approval process. The Budget Holder / Delegate for the cost centre must email the timesheet to timesheets.bureau@nuigalway.ie to authorise the payment.
Bureau process after receiving timesheet
- The Bureau will check that all the steps outlined above for "Before the timesheet is submitted for payment" are followed.
- If any of the steps are not followed the Bureau will reject the timesheet and it will not be processed.
- When there are issues with the timesheet, it causes unnecessary work and costs for the University so please ensure all the steps are followed and the timesheet is accurate before emailing it to the Bureau.
- If the timesheet is correct then it will be included in the payment run as per payroll deadlines

If the old version of the form was emailed to the Bureau do not email the new version with the same details as this is a duplication of payment. Going forward please ensure employee's use the newest version of the form.
