New Employee Set Up Form
New Employee Set Up Process for TSS Staff
Teaching Support Staff - HR will set up all teaching support staff based on the information provided on their contracts. Please see HR website here for futher information.
New Employee Set Up Process for Non-Academic Hourly Paid Staff or Exam Correctors
- The new employee set up form is only relevant for individuals who are hired for work that fits the category of work listed on the Payroll Payment Timesheet or Exam Correctors Timesheet.
- If step 1 is relevant then this form is only releant for individuals paid for the first time by payroll and need a payroll ID number. Scholarship payment ID number can't be used and you will need a new payroll ID number.
- You should complete this form before you commence your employment at NUI Galway and no earlier than a month before you commence.
- As soon as you are set up as an employee this will be reported to Revenue and Social Welfare.
- You must submit your timesheets the following month you commenced employment as it may cause issues for your Tax and Social Welfare entitlements if your payments are not reported within a month of carrying out your work.
Process after the New Employ Set Up Form is emailed to payroll
- The form must be complete in full and accurately or it will be returned for correction. Once the form is complete please email it to HR team at casuals.setup@universityofgalway.ie
- When there are issues with the form, it causes unnecessary work and costs for the University so please ensure all the mandatory details are completed accurately before emailing it to payroll. You will see the error note at the end of the form will change until all required details are entered.
- When the set up on payroll is complete, casuals.setup@universityofgalway.ie will reply to the email that sent the form with details of the Payroll ID number and other relevant information.

Download your payslip for future use, as you will lose access to your payslips when your employment ceases at NUI Galway.
