IRIS: Staff List

Staff List (from IRIS)

You can publish a list of your College's. School's or Discipline's staff members, powered by IRIS.   This appears in a mobile-friendly table which links to the downloaded IRIS staff profiles, which have been wrapped in the University of Galway page layout.

Tip: If you're previewing these instructions in Site Manager, leave this preview tab open (so you can easily see what the next step is) and carry out the all the instructions on the tab to the left of this one.

If you're browsing to this page on nuigalway.ie/t4training/, open another tab to log into Site Manager.

All that's required is for you to:

1. Depending on where you want your staff list to sit on your site you may wish to create a new sub-section or Identify an existing sub-section, in your site
2. Go to the content tab of this T4 Training example section (root » University of Galway » T4 Training » Training » Training Examples » IRIS Staff List)
3. Check the checkboxes to the right of the last 5 content types in this section:
    - Staff Table Start
    - Staff From IRIS School
    - Staff From IRIS Discipline
    - All Manually Entered Staff
    - Staff Table End
4. At the top of your content list there are three Action buttons, Click on 'Bulk actions', choose 'Bulk duplicate' from the dropdown menu. (If these buttons are not visible you might need to widen the browser window on your screen).
5. A pop up of the site structure will appear - select the duplication destination for your content. 
   (Be careful not to click on an incorrect section name - the first one you click on will get the duplicated content)
6. IMPORTANT: After the content is duplicated, you'll be returned to this Training Example t4 page - you need to go to your own section of the website.
7. Go to the section in your own site where you duplicated the 5 content types into.
8. Approve the 'Staff Table Start' and 'Staff Table End' content by clicking on the Actions button for each Pending content type and choosing Approve.
9. Only Edit one of the following contents:   'Staff From IRIS School'  or 'Staff From IRIS Discipline'. Whichever one is relevant to your staff list. (Leave the unused content type in a 'Pending' state so that it won't publish anything)
10. You do not need to rename the Name of the Content Type but some users insert their Discipline/School name at the beginning of the name. i.e. 'xxxxxxxxxx staff from IRIS....'
11. The second field is titled either School or Discipline depending on the Content type you have chosen in point 9 above.  Insert a valid school or discipline name from the list below (do not include any numbers) - then click on either
    'Save Changes' to put the content on Pending or
    'Save and approve' to Approve the content.

8. Typically, only academic staff have profiles on IRIS.  If you want to be able to add manual entries for non-academic staff, 'Approve' the content type called 'All Manually Entered Staff'
9. (Optional) Add a 'Content (Rich Text)' content type to your page for your introduction paragraph. Move this content to the top of the page - click on the arrow under the Order column and drag the content to the top of your content list.
10. Click 'Save Changes'
11. Check that all content types in your section (except for the 'Staff From IRIS....' Type you didn't want to use) have a status of 'Approved' -  If not, Approve them.
12. Finally,  get your page to load the requisite libraries to display IRIS content by changing its page layout:
    • Click into the 'Page Layouts' tab.  If it's not there, go back to the site structure, choose 'Modify Section' (not 'Modify Content'), and then click into it.
    • On the 'University of Galway' line change both drop-downs to 'School IRIS' (if this is a school page), or Other valid options are 'Discipline IRIS', 'Research IRIS' or 'Subsite/College IRIS' - choose the one that matches the type of site you're editing. 
      Warning: Choosing the wrong one will mess up the side navigation on your page.

If you want to add non-academic staff to your list:

1. Make sure 'All Manually Entered Staff' is approved.
2. Create a sub-section called 'Other Staff'.  Make sure it does not show in navigation.
3. Add as many 'Staff Contact' content types as you like to this sub-section.  Any ones you 'Approve' will appear in your staff list.
