IRIS (Institutional Research Information System) is a user-friendly, intuitive, web-based system that enables researchers and academic staff to create, update and maintain their own web profiles/CV’s and showcase their research expertise and achievements to a global audience.

What is IRIS - Profile
IRIS (Institutional Research Information System) is a user-friendly, intuitive, web-based system that enables researchers and academic staff to create, update and maintain their own web profiles/CV’s and showcase their research expertise and research achievements to a global audience. Some features of the system include:
- Automatic updates from Web of Science, PubMed etc: Profiles are automatically updated from the bibliographic databases - Web of Science and PubMed
- Automatic updates from University systems including HR, Student Registration, Financial, Patents: IRIS will contain your supervisions, grants awarded etc
- Pre-filled profile for all academics: Feeds from internal and external systems including information collected from the School Research Profiles Project which was uploaded into IRIS allows for a more complete and up-to-date view of your profile.
- Seamless integration with the University institutional open access repository: The system contains publication full text and once published your profile will allow your colleagues and others to more easily cite your publications in referencing
- Feeds for staff profiles on websites: Profiles can be downloaded in multiple formats for your own use or, when published, is available for viewing via Discipline/School/Institute/Centre websites eliminating time spent updating information in multiple places - http://www.nuigalway.ie/our-research/people/
- Multiple options for downloading information for your own use: Duplication of effort is reduced as CV data is entered once and is reusable in a variety of formats including downloading your CV into Word to print or use for grant applications
- Email alerts from IRIS to alert you of any new publications which IRIS has pulled from Web of Science, Pubmed etc into your IRIS profile
- Easy-to-understand and noticeable help hints aid the user with all aspects of IRIS
- One step simplified publish your profile to the web
- Automatically defaults any newly added publications (by claiming or input) to ‘Show All’/’Select All’ in the publish profile section
- By default, all items are sorted in chronological order in the publish profile section

- How do I login into IRIS?
Click on the below link and enter your standard Campus Account (UDS) username and password.

When you first login to IRIS you will be brought to the homepage. You can then choose the section of your profile to edit using the navigation menu bar on the left-hand side of the page. - My Contact Details are incorrect, how do I change them?
Your name, job title, list of qualifications, address and ext number are feed into IRIS from core HR. Please email hr@nuigalway.ie with your corrections. This data is loaded on a nightly basis to IRIS from the HR system. - My current list of postgraduate students are incorrect, how do I make edits or additions?
The current list of postgraduate students are taken from yearly progress reports which are gathered by the graduate studies office. Please email your college administrator with any additions (eg first year students as these are not captured on the yearly progress reports) or edits which will then be loaded into IRIS. - How do I download my IRIS profile to word?
Select 'Download CV's' on the vertical menu bar in IRIS. To create a new CV, enter the name of the CV and press Add. Once the CV has been created, it will appear in Your CVs list which can then be downloaded by using the Download link. - How do I Publish My Profile to the web?
Select 'Publish Profile' on the vertical menu bar in IRIS. There are six categories in which you can select content in order to build up your web profile: Biography, Research, Publications, Professional, Teaching and Collaborators. Press 'Save' after your edits are completed before selecting 'Publish'. - I have updated my IRIS profile but I don't see the updates on the web?
Any updates to your IRIS profile need to be republished to the web - Select 'Publish Profile' on the vertical menu bar in IRIS. Press 'Save' after your edits are completed before selecting 'Publish'. - When will my profile appear on the web?
Downloads from IRIS to the web will happen twice a day at 8:35 AM and 8:35 PM which will then be feed out onto the web within the next 12 hours e.g. anyone who makes profile edits within office hours can expect to see those changes on the live website by the next morning. - How do I add full-text on IRIS which is integrated with University’s institutional open access repository-Aran?
• Select ’Publications’ from the vertical menu bar
• Locate the publication you wish to upload the full-text to and across from the publication select the book icon in the action column.
•You will then be prompted to up-load the full-text file for the article.

Yes - How can I update my profile from Web of Knowledge or Pubmed?
Enter your author name variants into IRIS - Select 'User Preferences' from the vertical menu bar and enter as many author variants as you wish. Then check your claims area to check if your publications are available from Pubmed or Web of knowledge - Select 'Publications' from the vertical menu bar to view your publication claim area. To claim a publication, tick the item in question, and then press 'Claim' and it will be automataically added to your profile. - How do I receive email alerts from IRIS?
You can now receive email alerts from IRIS to alert you of any new publications which IRIS has pulled from Web of Science and Pubmed into your IRIS profile (based on your author name and NUI Galway address name variants). IRIS will also search for publications you have co-authored with another NUI Galway member; this means that you can claim your publication instead of manually entering it.
To turn on your email alerts – Login to IRIS http://iris.nuigalway.ie/live/ and select ‘User Preferences’ from the vertical menu and click 'Yes' on the tick box to ‘Receive Email Alerts’.
(The alert email will be sent from iris@nuigalway.ie please ensure the email is not directed to your junk mail folder) - How can I be included in the Research Postgraduate E-Prospectus 'Find A Supervisor' web feed?
IRIS now has a live feed on the Courses section of the external website http://www.nuigalway.ie/findasupervisor/ which can be viewed externally to help potential students identify supervisors and their key research interests. To be included in this web feed please complete the relevant information in IRIS - Find A Supervisor

- IRIS has been upgraded to version 3. This version is a more user-friendly and intuitive web-based system. Improvements include a one step simplified 'publish your profile to the web' and easy-to-understand and noticeable help hints to aid the user with all aspects of IRIS.

- Community Engagement - IRIS has been upgraded to include a new Community Engagment section under the Professional tab. This section holds information on Advocacy, Board Membership (Boards of Community Based Org, NGO), Consultancy (Pro-bono), Outreach, Policy Development, Research (e.g. Community based research) and Teaching (e.g. Service learning / comunity based learning)
- Patents - IRIS is now integrated with Inteum (Technology Transfer Office patents database) which will feeds data directly into IRIS
- Reports - A large number of reports are already live in the system and we are currently working on creating a number of custom reports. Please contact noreen.goggin@nuigalway.ie if you require any custom reports.
