All bookings of PC Suites can be carried out either in OWA or with your Outlook Email client.

How to Find a Free PC Suite
STEP1: Enter your proposed booking time in Appointment. Click on Room Finder
STEP2: If there are no clashes, you will see what rooms are free at your proposed time in the Room Finder.
STEP3: In the Room Finder, we can see that there are 18 Rooms available at the proposed time slot of 13.00-13.30
STEP4: Click on Show a Room List, then All General Access PC Suites to get a full list of available Suites
and available times.
STEP5: Click on Scheduling Assistant
This gives you a clearer view of what rooms are available and at what times during the day.
STEP6: If there are conflicts with any time you wish to book, you will see where the conflict is and with whom.
STEP7: Hover over the booking for more details of the conflict.
STEP8: You will see in the same screen what rooms are available at the time slot you wish to book.
Two arrows run though the proposed booking time.
Chose an alternative room by ticking the box beside it.
STEP9: Your new selection automatically populates the TO field.
Fill in your booking details from there and click Send when ready.
How to categorize a booking in Outlook 2011
Outlook2011 offers a mechanism to distinguish between different types of bookings.
In the context of booking a PC Suite, you may wish to distingush, for example, between a
- Personal Booking
- A Work Booking
- A Recurring PC Suite
- A single, ad-hoc booking.
This article will show how to create a new category and apply it to a booking.
STEP1 - In the above example, you can see a booking for a Semester PC Suite booking in Pink.
Personal or other items are currently in blue.
STEP2 - To edit/create a new catergeory, Control Click over your booking.
Choose Catergorize-Edit Catergories.
STEP 3 - Add a new catergory - click on the + button.
STEP4 - Choose a colour/name for the catergory. Click OK.
STEP5 - Control Click on your mouse, got to Catergorize and click on your new catergory.
STEP6 - The booking changes to the properties (colour) of the catergory you made.
This differentiates the booking from other bookings in the calendar.

STEP1 - Go into your Calendar as normal and begin to make your booking.
STEP2 - In the Appointment Ribbon, chose Catergorize and All Catergories
STEP3 - Click on New.
STEP4 - Put a name on the booking. Also choose a colour of your choice.
STEP5 - Your Booking is now catergorized with name/colour you have just chosen.
STEP6 - Once you finish your booking, your calendar will reflect how you
catergorised your booking
How to set up a recurring meeting in Outlook 2011
This article describes how to set-up reccurring meetings in Outlook 2011 for Mac.
STEP1: Click on Appointment
STEP2: Click on Recurrance. Chose Custom.
STEP3: Click on the Repeats Menu.
Pick the period for which you wish the recurrance to occur.
STEP4: The above gives an example of a daily meeting recurrance. Note: End Date is set to None.
STEP5: This is for a weekly booking.
Note: The End Date finishes after 12 occurances.
This meeting will reoccure for the next 12 weeks.
How to create a recurring meeting in Windows
The following article outlines how to create a recurring appointment in Windows on the Outlook email client.
STEP1: Go into your calendar as normal.
Download the PC Suite booking template file and fill it in.
STEP2: Copy/Paste details into body of appointment.
Click on Recurrance when ready.
STEP3: Ensure your appointment time is correct.
Recurrance Pattern - Can be daily/weekly/monthly/yearly
STEP4: Range of recurrance - chose the appropriate amount of times your booking
will reoccur for.
Note: In the example above we are saying the booking will End After 12 weeks.
The date is set at 28/10/2014
STEP5: Once you tab to click OK, not the date has changed to 11/11/2014.
Ensure you are happy that the End Date is correct for your particular needs.
STEP6: Click Send when you are happy everything is ok.
You will receive a Tentative email approving the booking providing there
are no existing tentative/confirmed bookings made.
STEP7: Once you get your approval email, the public calendar will be updated with your appointment.
How do I Amend/Delete a Booking
All Semester 1 and Semester 2 bookings for 2013-2014 have been transferred to the new ISS Bookings system and are valid for the academic year 2014-2015.
If you wish for any of these transferred bookings to be deleted or amended, please contact the Service Desk with details of the booking.
For the academic year, 2015-2016, no semester/individual bookings will be transferred over.
If you have made a booking through your own calendar for a PC Suite with the new Outlook based system, and it has been approved, you can easily amend/delete the booking:
- Go to your Calendar
- Delete - Right click over the booking and click Delete. The entry will be removed from the public PC Suite Page
- Amend - Go into the booking and make the changes necessary and click Send Update. If approved, you will receive an email back.
