Academic Staff Computer Scheme
What is the Academic Staff Computer Scheme?
New permanent academic staff and new academic staff on contracts of minimum three years duration are entitled, under a scheme administered by the Bursar's Office, to purchase a new computer (maximum total value of €1,200 including VAT, please note this allowance is calculated pro rata on %FTE). Existing academic staff with a computer that is 5 years or older, are also eligible.
How does the Academic Staff Computer Scheme work for new staff?
- The Human Resources Office will advise Information Solutions and Services of all new eligible appointments.
- Information Solutions and Services will then send a link to the new staff member to complete an online Academic Staff Computer Scheme Form to specify the type of computer required. A University of Galway Office 365 account is required to complete the application form.
- On submission of the Application Form a ticket will automatically be created in our ISS service desk ticketing system and the staff member will be emailed the details of the ticket.
- Information Solutions and Services will order and pre-configure the computer with standard desktop software (i.e. Microsoft Office, SPSS, Internet browser and email software). Please note: the Academic Staff PC Scheme order can only be processed by ISS.
- The computer will be delivered by courier directly to the staff member's office. The staff member should then contact the Service Desk referencing the ticket number to inform them that the computer has been delivered. Please notify ISS of delivery for GRN purposes.
- The staff member is advised to unpack the computer and assemble it on the desk or in the desired location.
- A technician will be assigned the ticket and will contact the user to arrange the final configuration.
How does the Academic Staff Computer Scheme work for existing staff?
The academic staff member contacts the relevant contact in your College/School (refer to the following links) to request written authorisation to avail of the scheme.

Note: It is the responsibility of the staff member to ensure that any required data on their obsolete computer is correctly backed up and transferred to the new computer.
How do I find out if I am eligible for a new computer under the scheme?
(a) All new permanent academic staff are eligible for this scheme.
All new academic contract staff of minimum three years duration are eligible for this scheme.
(b) Renewals
In order to qualify for a renewal, the existing computer must be 5 years or older. In some cases, the College/School may request Information Solutions and Services to assess the computer for its eligibility. The academic staff member should email the appropriate contact (see links below) to request written authorisation to avail of the scheme.

What type of computer can I get under the scheme?
The Academic Staff PC Scheme is intended for the purchase of the staff member’s primary working device, which may be a Desktop or Laptop. Approved models include Dell OptiPlex and Latitude models, and Apple MacBook Air, MacBook Pro, and iMac. Tablet devices or iPads are not approved for purchase using funding under this scheme

Can I request a customised computer or additional hardware?
Yes. You can specify customisations or additional hardware required when submitting the online form to Information Solutions and Services. Please note you can only choose from the equipment supported by the Academic Staff PC Scheme.
Please note that if a staff member requires any non-standard features, which increase the cost beyond the standard specification (€1,200 including VAT), this additional cost will have to be met from Departmental Recurrent Account Funds.
Can I order my own computer directly from the supplier under the scheme?
No, you cannot order directly from the supplier's website but you can obtain a quotation for additional extras to the standard models from our account managers directly. All computer orders under the scheme must be ordered through Information Solutions and Services.
