Staff Leaving
Staff leaving NUI Galway
Staff leaving the University of Galway are no longer entitled to use their Campus Account.
Your Campus Account will become locked the day after your contract ends. This means you will no longer be able to access any IT services.
Enterprise Application Accounts (such as Financial System Agresso, Student Records Quercus, Employee Records Core Back Office) will also be disabled after your last day.
You will maintain access to Core Employee Self Service for 30 days after your contract end date to allow you access to your final payslip. No other Core Portal menus will be available.
All staff members are notified by an automated email that their Campus Account will expire on their contract end date. You will also receive a leaver's checklist from HR.
Once you receive this email, we recommend you complete the following:
Before You Leave University of Galway
- Notify email correspondents of your @universityofgalway.ie email address that it will soon be inactive. It may be a good idea to provide them with an alternative email address where they may contact you.
- Set an Out of Office on your email account to say you no longer work at the University of Galway and provide alternate contact details. See the Microsoft website here for setting up an Out of Office / Automatic Replies on your mailbox.
Staff on a Career Break
You will still have access to your email when you are on a Career Break and your Campus Account will still work.
We recommend setting an Out of Office message on your work email account.
Your Enterprise Application Accounts (Financial System Agresso, Student Records Quercus, Employee Records Core Back Office) will be disabled on the day you begin your Career Break.
Staff Retiring from the University
Your Campus Account will not be disabled and access to your email account will work. We recommend that you set an Out of Office message on your University of Galway email account. Your Enterprise Application Accounts (Financial System Agresso, Student Records Quercus, Employee Records Core Back Office) will be disabled after your retirement day.
Once you retire, your email address will be added to the Retired Staff Dynamic Distribution List. You will be kept up to date on all emails sent to this Distribution Group. This will help you stay informed about ongoing activities from the Retired Staff Association.
Microsoft 365 Software
If you have downloaded Microsoft Office (Word, Excel, PowerPoint) to your desktop/laptop device from the Microsoft 365 Portal, these applications will enter a reduced-functionality mode after you start a career break, retire or when you leave the University.
In reduced functionality mode, Microsoft 365 will remain installed on the computer, but you can only view and print documents. All features for editing or creating new documents are disabled, and you will see the following message:

Here are some handy steps to ensure you don’t lose any important OneDrive content:
- Copy any personal files from your Microsoft 365 OneDrive to another cloud storage location
- If you wish, you can create a new personal account on Microsoft 365 or purchase a personal copy of Microsoft Office
