Step-by-Step Guide for Making the Most of the Graduate Careers Fair
Maximise Your Engagement - As part of your employer package with the University of Galway's Career Development Centre Fair (CDC), follow this simple guide to maximise your engagement before, during, and after the event.
Important Reminder: Finalise and submit all job ads and promotional materials by Monday 15 September 2025 for maximum visibility. Students will start looking into who is attending on CONNECT! Be seen!
Step 1: Preparation Before the Event
1. Advertise Your Roles on Careers Connect, for FREE
- On CONNECT, upload your graduate programmes, summer internships, and other vacancies by Monday 15 September 2025.
- Include job descriptions, application details, and clear deadlines.
- Mention you will be available on-site for information on the day of the fair as part of the "Graduate Fair 2025" for increased visibility to students.
Step 2: On the Day of the Event
Make use of branded materials (banners, brochures, business cards). Include QR codes that link directly to your Careers Connect listings or application pages.

Parking at the Event
Parking Disclaimer
The University of Galway Career Development Centre would like to remind all attendees that we are unable to cover any clamping fines incurred. Please ensure you park responsibly and adhere to the parking regulations on campus.
Parking Permit at the University of Galway Campus:
- Each exhibitor may use up to two permits (one vehicle per permit) per organisation.
- Digital permit linked to your vehicle registration; valid only in the Park & Ride Car Park on the event day. No printout needed.
- Registration opens 24 hours before the event — apply within that window.
- A permit does not reserve or guarantee a space. Parking is strictly first-come, first-served; we do not hold spaces.
- Park in white-line bays only; campus parking rules apply.
- Due to limited parking, please arrive before 08:30 where possible.
- If Park & Ride is full, please use public transport or city parking (at your own cost).
- Google Maps: Park & Ride.
- Accessibility: If you need reasonable accommodation for parking, contact employers@universityofgalway.ie in advance.
Follow these 5 simple steps to secure your digital parking permit for this event:
- Step 1: Create a Personal Account on the University's parking website (using the vehicle registration number of the car you will be using on the day of the event) https://nuig.apcoa.ie/app/create-account/
- Step 2: Log in to your Apcoa account (using your chosen username and password).
- Step 3: Select and apply for the relevant University of Galway conference permit here 'Graduate Jobs Fair 2025'.
- Step 4: Park in the white-lined parking spaces only in the Park & Ride between the hours 08:30-17:30. Reference location 42 on our campus parking map for directions to this carpark. Eircode: H91 EW40.
- Step 5: Use the Park & Ride Bus Service to the Orbsen Building. Our event team will be on hand at the end of the bus route to assist you on the day. See the bus timetable here.
Pay & Display at the University of Galway Campus
Exhibitors can also use Pay & Display spaces (if available), which are located in all Car Parks on campus – you will need to park in spaces marked with blue lines and purchase a Pay & Display disc via the Apcoa Parking website or by downloading the app – apcoaconnect – to pay by phone. Parking map available here. Please be aware clamping is in operation on University Grounds.
Alternative City Parking — Galway Cathedral (public parking)
- Open 24 hours in the Cathedral grounds.
- Pay-per-hour Monday–Saturday; free on Sundays.
- Attendant on duty Monday–Saturday, 08:30–18:45.
Galway City Council also operates a pay-per-day car park in Cathedral Square (immediately south of the Cathedral).
- Using the Galway City Parking app, Select “Cathedral – GCTH” (currently €6.50/day; rates subject to change—please check the app).
- This is a public facility and separate from the University Park & Ride (University permits not valid here). Please follow on-site signage and local parking regulations.

Complimentary Refreshments & Lunch
Water
As part of our commitment to creating a more environmentally conscious and sustainable campus and to help reduce the use of plastic, we won’t be providing plastic water bottles to exhibitors. Instead, we’re encouraging everyone to bring their own refillable water bottles. You’ll find refill stations and water coolers conveniently located in the main hall and adjacent exhibition spaces to keep you hydrated throughout the day.
We appreciate your support in helping us take steps toward a greener future, and we look forward to seeing you at the fair!
Catering
All exhibitor catering will be served in The Cube (located adjacent to the Bailey Allen Hall)
- Tea, coffee & breakfast pastries will be served from 9:30-11am
- Hot buffet lunch will be served from 12-2pm. The lunch will include chicken curry and rice, Vegetarian Curry (vegan and Gluten-free) and rice.

Your Exhibition Space
The exhibition space for this event will be located in the Bailey Allen Hall or the Bailey Allen Foyer. Your stand allocation will be available on arrival at the event.
Exhibition Stand Specifications
Please note that the floor area for all exhibition spaces (stands) measures approximately 2m x 3m. Each stand will be equipped with:
- A trestle table (dimensions 1.8m x 0.75m)
- Tablecloth
- Two chairs
Power Outlets
Power outlets will only be available to stands located along the external walls of the Bailey Allen Hall and some stands located in the middle aisles of the Bailey Allen Hall. A limited number of power extension cables will be available upon request from the main registration desk located in Bailey Allen Hall.
Insurance Cover
Mandatory for all exhibitors
All exhibitors are required to provide written evidence of the following insurance coverage in order to exhibit at this event:

Employer’s Liability: Minimum of €13 million

Public Liability: Minimum of €6.5 million
The deadline to submit copies of your insurance documentation is 5:00 PM on Friday, 19th September.
Failure to submit the required evidence by this deadline may result in the cancellation of your booking.
Submissions can be made in one of two ways
- The event booking form on the Careers Connect portal
- Via email to Employers@universityofgalway.ie (quoting ‘Internship & Graduate Jobs Fair – Exhibitor Insurance’ in the subject line).
Billing Options
Payment for this fair will be made by invoice, which will be issued after the event. If your organisation requires a PO number, please ensure it is provided in advance of the fair.
If your organisation is new to the university, you must complete the Company Setup Form. This is a one-time process. If you’ve already submitted the form, you will be invoiced after the fair as usual.
