Congratulations on being accepted for a place on a Blended Intensive Programme.

If for any reason you can no longer take up your place please inform the Global Galway office at ENLIGHTmobility@universityofgalway.ie so that we may offer the place to another student.

I have been informed I have been selected for a place when happens next?

Your details have been passed to the partner hosting the BIP. Please keep an eye on your university email address for information from Global Galway and our partners. Before attending the programme you will need to:

1. Apply for a visa to attend the BIP if you need one. Please start this process as soon as possible by emailing ENLIGHTmobility@universityofgalway.ie for a support letter to include in your visa application.

2. Register at the host university – your host university will email you information on how to register to attend the BIP.

3. Arrange travel insurance – for advice on choosing travel insurance please see Health & Insurance - University of Galway. Please also ensure you have a valid European Health Insurance Card (EHIC).

4. Complete a Learning Agreement - You will receive an email outlining how to complete your Learning Agreement. Most students will apply online and will receive an email when your draft Learning Agreement is ready for completion.

Students travelling to the University of Bern will be emailed a document to complete:

5. Complete a Grant Application Form - You will be emailed with a link to the grant application form. This information will be used to calculate the amount of funding you are eligible to receive and for us to apply for the grant. Within 7 working days of submission, you will receive a drafted grant. Please review this information carefully and submit a signed version of your grant agreement at: https://forms.office.com/e/FrG0LFY88i.

Before departure, is there anything I need to do?

Before you travel to your BIP please:

  • Book your travel and accommodation, often the hosts provide advice on economical and good quality accommodation.
  • Confirm you have travel insurance and, an EHIC.
  • Ensure your Learning Agreement is signed by all parties and submit it via https://forms.office.com/e/sZJys7S1XS.
  • Complete the grant agreement application which has been sent to you. You will be emailed back with a draft Grant Agreement, please review the information, sign it and submit it via https://forms.office.com/e/FrG0LFY88i. Scanned copies of your signature or printed, signed and scanned versions are accepted.
  • Print a copy of your Certificate of Attendance. You will either have been emailed this by your host or you can download one here Certificate of Attendance 2024-2025. You will need to get this signed at the end of your onsite period.

After the onsite period, what do I need to do?

Please make sure you complete all the learning elements for the BIP as set out by the host institution.

At the end of the onsite period please get the host institution to sign your Certificate of Attendance. You will either have been emailed this by your host or you can download one here Certificate of Attendance 2024-2025. Once signed please upload it at https://forms.office.com/e/Ze4fepnSMj.

You will also need to complete the Online EU participant report. You will be emailed a link to this after your mobility has ended by the EU Commission.

Once these two final steps are completed your grant payment will be released.

When will I receive my funding?

Funding will be issued to all students after the period of travel. You must have completed all the pre-departure and exchange completion paperwork to receive your grant funding.

I can no longer attend my BIP, what should I do?

Please contact us at ENLIGHTmobility@universityofgalway.ie as soon as you can to make the space available to another student.
